SamaraCare has grown steadily over the past 48 years and will continue that trend going forward.  The principal responsibilities of the Insurance Specialist (IS) in supporting the mission and services of SamaraCare includes the following detailed job description.


The Position

  • Proficient in keeping detailed notes of each client and insurance interaction
  • Able to handle confidential information and abide by HIPAA guidelines

Daily Responsibilities

  • Process and apply insurance payments such as credit cards, checks and electronic fund transfers
  • Balance daily insurance transactions to payments received
  • Review and interpret a variety of insurance explanation of benefits (EOB’s)
  • Contact insurance companies directly when discrepancies are found on EOB’s
  • Offer solutions and advice on insurance inquiries from clients and counselors
  • Interreact with staff therapists to resolve insurance topics related to client co-pays, deductibles, and contractual disputes.
  • Bill electronic claims at the end of the day and check the clearing house to follow up on any claim rejections. Submit paper claims when necessary
  • Answer phone calls and walk-ins to assist in the front office support
  • Assist with or back up the benefit coordinator on insurance verification of eligibility and benefits, accurate data entry, and document scanning
  • Assist benefits coordinator in maintaining pre-certification for client accounts and inform counselors when to obtain additional units as needed
  • Shared front office duties with administrative office staff such as: answer phones and assist clients in reaching counselors, discuss intake process, direct crisis calls to open counselors, directions and additional information. Interact with clients as the come into the center.

Weekly Responsibilities

·         Review and work Insurance A/R reports

·         Follow up on unpaid claims and be knowledgeable on how to converse with insurance companies relating to denials and past due accounts

·         Call to have insurance reprocess claims that have not been paid and correct claim information when necessary

·         Write appeal letters to insurance carriers to resolve complex accounts and dispute denied claims 

·         Research insurance refund requests to determine the reason

·         Process insurance refunds by forwarding a detailed explanation to the accounts payable department to process a check and enter into the client ledger

As Needed

  • Review new provider on-boarding check list for insurance related updates
  • Update the database when adding new insurance carriers and new clinical staff
  • Be the expert in the credentialing process to provide clinical staff with necessary paperwork to be credentialed with various provider panels, to obtain National Provider ID (NPI), and for enrollment in CAQH. Establish and maintain provider paper and electronic files
  • Primary liaison to the billing clearing house and software vendor regarding insurance payor numbers, correct billing formats and electronic billing errors
  • Follow the batch claim enrollment process for Change Healthcare by filling out appropriate forms for new providers billing insurance
  • Work to improve continued communication with insurance carriers via the internet. Maintain a log of all internet passwords, “log-ins” and provider ID numbers
  • Keep track of EAP session and claim submission guidelines
  • Maintain and update spreadsheets to keep track of insurance fee schedules
  • Back up accounts receivable as needed (on vacations and time off)


  • Sound Mathematical skills, analytical, and knowledge of basic accounting principles
  • Aptitude in general billing functions
  • Strong organizational skills and ability to prioritize tasks
  • Knowledge of office methods and procedures, including computers and other office equipment
  • Strong knowledge of Microsoft Office applications
  • Cash Handling
  • Professionalism, and interpersonal and language skills


  • Insurance 3+ years (preferred)
  • Medical terminology knowledge desired
  • Previous experience in a physician’s office is a plus

Compensation Package

·         This position is a full-time position requiring 35-40 per week, although open to discussing part-time

·         Competitive salary range, with salary determined based on strength of fit and scope, and depth of relevant experience.

·         Salaries are reviewed yearly in connection with performance evaluation processes.
