Im wondering how other counselling/therapy/psych places bill clients that have a co insurance. Do you try to calculate before hand so they pay at time of service? or Do you bill the client at the end of the month? I ask this because we will see clients every week and may need to bill out multiple claims for them. Just looking to see what others are doing and trying to get a good system set up.

Our admin used to contact the client's insurance company prior to their diagnostic interview to determine the amount of the copayment/co-insurance. They were expected to pay it at the time of visit. This is for two reasons....first because it places a value on the therapeutic relationship. Secondly, we couldn't afford to balance bill them every month; between the lack of cash flow and the cost of sending statements, it makes sense for them to pay their responsibility when they see their therapist.
