My name is Sofia. I am the events manager here at AAPC, and I'm super excited to show off our new event platform to you today and get you excited about your next upcoming conference. I wanna start by showing you how you'll get logged in and access to the platform.
When you, sign up for the event, you will receive an email notification.
At the bottom of that email, it'll give you a link to access the virtual platform here with your login credentials, the email address associated with your AAPC account, and then a unique password that is specific to this platform. You will want to copy and paste that platform in or password in order to log in here.
I will show you where you'll be able to change that password to something easier to remember.
This is the first page. We'll quickly hop over to our account so I can show you how you can update that password. Information about yourself, add your certifications, tell us about who you are, add a photo, anything you any, outside social media aspects you would like to connect with other attendees with and share with them. All of that can be done here in your account under your profile, and then you can change your password by adding a new password and confirming it here. You'll also be able to add any files that you wanna share with anybody. It's a great place to be able to build out your profile and, showcase how you'd be a great connection for other attendees or what you're looking forward to in order to get the information you would like.
We'll pop back over here to the lobby really quick, and I'll just show you a few things here, that are pretty fun and important.
You see we have our event feed. This is where you can share photos. You can take a quick little photo too and post it live on the event chat. Super fun. Right?
And we also have our, ongoing chat box here. This stays live throughout the entire platform, and so you can chitchat with other attendees throughout the entire course of the event. It is a hideable thing if it becomes distracting, so no worries. You can take care of that.
We will also be sending important announcements and any updates throughout the course of the event. Here in the lobby section, this is where those announcements will live, and so you'll see those kind of filter throughout as things come up. The other important thing here is your notifications. If you get any private chat messages, somebody likes your post, somebody, new updates about your session, a notification will pop up here.
We have some accessibility options as well that are great if you wanna filter through to help you find things that might make a virtual conference a little bit more seamless for you as an individual. You can change the language as well, and then you'll be able to see how many attendees are live at the same time.
You can also chat with other attendees. If it was more than just me online, you'd be able to see who they were and start a private message with them here, which is quite fun. We'll quickly pop on over to the mobile app.
If you're on your phone, you'll wanna search whether you are in your iOS App Store or in, the Google Play Store for whatever type of device you have, you'll search for events by AAPC. That is the name of our new platform.
Once you find the events by AAPC and have that downloaded, you'll log in with the same username, the email address, and the password, whether you set it to a new one, just now or, whatever one is noted in your email address from your confirmation email. Once you're logged in, you'll be able to find your event.
I'm gonna use this one since it's where we're sourcing information from most recent. And then this is our mobile app. Same information. It does connect to each other and chitchat from here to there. You'll see the same announcements live here, the same event feed, and then our, leaderboard on our challenges also shows there. So they do connect one another. You also get the same announcements here, and, this is where you can see additional information about the event.
Just to show you how they do connect, it's a fun way to post photos. If you don't wanna take a photo to post on the chat wall, you can choose a photo and post it from the mobile app, and then still use that for likes and comments.
And they all connect back to each other. Pop back over to the virtual portal.
We'll hop over into sessions. That's the meat and potatoes of any conference. So we wanna make sure that this is clear on how this works.
So this is where you will go to actually view your sessions, choose the sessions you'd like to attend, and then also where you'll go to join the live stream during the event itself.
As you can see, you can see the information for every session here. Click through. And then once you click on a new one, it'll give you the new information about each session, who the presenter is, descriptions for it, and, the ability to add it to your calendar. You can see what track it belongs to in the format that the event is being, presented in. The time and note that I am in local mountain time, and so it is showing the time zone for where I live based on the computer it is assigned to. So if you are in a different location, be aware that of the time zone of the event.
Most of our virtual conferences are streamed from mountain time since that's where AEPC is headquartered.
So if you're on the East Coast, this actually starts at twelve fifteen eastern time instead of ten fifteen mountain time, but that will automatically adjust on your end if you are in a different time zone.
The other thing, that you can do on this page is to filter by a few different ways if you're looking to build your agenda. Say you wanna look just for advanced administrator, sessions. You can filter by track. Once you've built your agenda, you can filter just by the sessions you've selected, your personal agenda.
You can also view, your schedule this way so that you can see the full schedule in this view by time, by day. If that's easier, you can toggle between the two days and see a holistic view of all of the sessions.
You can again sort by tracks. You can sort them by list or by calendar, whatever the easiest way for you to be able to view the sessions. And then when you click back, it'll take you back here where you get the main information about the session.
This view here, the schedule versus sessions, is that same schedule view, but you can filter again by your personal schedule here and take a look at it by a day view to see what your day is going to look like when you're attending the event.
The other thing that I wanna point out, when you are in the sessions, if there are any handouts associated, you'll see under files where those handouts are and they're downloadable. So you can click on that, and then you'll be able to see information directly about that session. So all of the handouts will live within the session description for each event.
The other thing I wanna point out here is speakers. You can see who are speakers are, their bios for background, and their qualifications, and then what sessions they're attending where you can then say, I'd like to I need some help. I inherited a team. What do I do now? I'm gonna click back in where I can then go back and add this to my agenda.
In order to add a session to your agenda, you just need to click this little checkbox here. It's a plus sign. Once it's turned into a check, that means it's on your personal agenda so that when you're going back to sort, you'll be able to see that.
Just to pop back over, to the event app and show you how this looks from this format. If you go over to the schedule here, you'll see the same list of sessions.
I selected that on the virtual platform. So it's showing I'm checked in on this as, this is on my schedule here. I can remove it from my personal schedule and then add it back to my schedule too, all in the same place. You could just see a different view of the same session. So depending on what's easiest for you, joining on the virtual portal or on the mobile device, you can see that the information's available on both places. You can also view the calendar, view here as well from your personal design, and you'll see where the time zone is listed here in mountain time as my local time. It'll adjust to your local time.
The other thing that you can see here, you can see just the event feed, kinda shrink the information, just the announcements, and then our challenges.
This is where you have a little bit of fun to play. We call this challenges, but it's really a scavenger hunt between you and attendees to be able to find where we've hidden codes throughout the different platform. We'll hide them in all different sorts of places. Sometimes it might be in an announcement.
It might be at the end of this video. It might be a trivia question where you can come in here and find the codes here. If you click on this, it's a numerical answer, but what year was AEPC founded? Four numbers.
Okay. I think it was nineteen eighty eight, where you then go here and you can type in that code and claim your points. Once you've claimed enough points, you'll see the, the point value and then who's on the leaderboard. I'm the only one so far who's done this.
But you'll see then if you go over to prizes, your number of points that you have, and then how much how you to claim your prizes. We'll have a list of a few different fun options where you can redeem and get, prizes directly on your own. There's some instructions here as well and some fun things to do.
The other thing, is that lobby chat. It's more like an individual chat box here on the the mobile device. It's that same platform here that is available in the lobby section for everyone.
And then if you have any individual direct messages with other attendees, they'll be able to be viewed here as well. You have your calendar. And then if you'd like to take notes, if you're watching on your, your computer for a session and you wanna take notes on your phone, that's an option too, all within the same platform, which is super helpful.
The other thing I wanna point out here is that we do have a virtual help desk. If you're having trouble with anything, connecting to sessions, you missed a CEU code, you've got questions about future conferences, anything that you can think of, our virtual help desk, we've got a live person available during the entire event that you can hop in by clicking this link here to launch the meeting.
You'll see the times that we'll have somebody available in that meeting, and then we also also have our frequently asked questions available to download so that you can, review that as well. Of course, we're always available through email, and you can also send a chat to, one of the conference team members here in the mobile and, virtual platform, and we will help you as soon as possible.
