AAPC Speaker Policies

By submitting an application to present at an AAPC conference, you agree to abide by the AAPC speaker policies. If you are unable to meet the following speaker guidelines, please do not submit an application to present.

  • Responsibilities of AAPC
    • AAPC will provide attendees with electronic access to the Speaker’s handouts prior to the start of conference.
    • AAPC reserves the right to edit, rewrite, or otherwise modify or correct any materials produced by Speaker if necessary.
  • Responsibilities of the Speaker
    1. Speaker will need to adhere to all deadlines set forth in speaker agreement. Presentation content must match session title, description, and handouts. No changes to the presentation will be allowed after final submission. Non-compliance with deadline may result in termination of Speaker contract and replacement of Speaker.
    2. Speaker agrees to the following:
      • No logos or PowerPoint backgrounds with speaker name or the name of your organization will be on any work materials. The speaker name may appear on the title slide and the speaker name, title, and organization may appear on the last slide.
      • Speaker grants AAPC the right to use name, photograph, and biographical information in connection with promotion and publicity for deliverables.
      • All matters and decisions relating to the use, publication, advertising, promotion, pricing, distribution, and sales deliverables shall be determined by AAPC.
      • Conference sessions are awarded CEUs based on education time. As such, Speaker must present for the full 90-minute session. Speakers who end their sessions earlier than the scheduled time will not be selected to speak at future AAPC conferences.
      • Speaker verifies that the deliverables do not infringe any copyright or other intellectual property rights or invade any other third party; the deliverables shall not contain libelous or unlawful matter, and all factual statements are based on customary standards of academic research.
      • Speaker must check in at the conference at least one hour prior to scheduled presentation. Failure to do so may result in replacement of Speaker and cancellation of the Speaker contract.
  • Relationship of Parties
    • The relationship of the Speaker to AAPC will be that of an independent contractor acting on the behalf of AAPC and not as an agent, joint venture, or partner.
  • Audio and Webinar Release
    • The Speaker grants AAPC any and all copyrights in recordings made during the engagement and the right to make, use, and sell copies of such recordings in any and all media, and to edit such records as reasonably deemed necessary by the association in order to render suitable for sale. The Speaker releases any and all claims against AAPC, which may arise directly or indirectly from the sale of copies of such recordings. In consideration for the above release and grant, AAPC agrees to acknowledge the Speaker’s contribution to the recordings sold and in material disseminated with such recordings, in the way outlined in materials submitted by the Speaker.
  • Speaker Cancellation
    • Cancellation: If for any reason AAPC deems it necessary to cancel the speaking engagement, AAPC will provide notice to the Speaker in writing at least 10 business days in advance of the engagement date. The Speaker will retain any discounted registration related to this engagement. AAPC will not be held responsible for travel or accommodation expenses incurred. When AAPC deems it necessary to cancel the engagement due to the Speaker's failure to comply with the terms and conditions of this agreement, all parties agree that Speaker compensation shall be waived and all release and copyright conditions within this document shall remain in effect.
    • Speaker Cancellation: If for any reason the Speaker must cancel the engagement indicated above, Speaker agrees to provide notice to AAPC immediately in writing in advance of the engagement date. The Speaker relinquishes rights to any registration concessions/discounts provided as part of this agreement. Speaker also agrees to reimburse AAPC for all travel or accommodation expenses incurred by AAPC in relation to the cancelled event. In cases where cancellation is made by the Speaker, all parties agree that all release and copyright conditions within this document shall remain in effect. Speaker cancellations should be rare and only in case of emergency situations. Speaker is responsible to contact AAPC if speaking commitment becomes impossible due to emergency.
